What goes on an invoice
A clear invoice answers every question your customer might have before they pay:
- Your details: business name, address and a contact email or phone number.
- Bill to: the customer’s name, and a contact person and address if they need one.
- Invoice number: a unique number for every invoice, such as INV-1001, INV-1002 and so on. It makes payments easy to match.
- Issue date, due date and terms: for example, “Net 30” means payment is due 30 days after the invoice date.
- Line items: what you provided, how many and at what price.
- Totals and payment instructions: how much is due and how to pay you.
Line items, quantities and rates
Enter one item per line as Description | quantity | unit price. Quantities can include decimals, so hourly work like Consulting (hours) | 2.75 | 90.00 works too. Long descriptions wrap neatly. When an invoice has many items, it continues onto as many pages as it needs, with the table header repeated and the totals on the last page.
Accurate totals
Every amount is calculated in whole cents, never with floating-point decimals, so totals don’t drift by a penny. Each line is rounded to the nearest cent. The discount, whether a percentage or a fixed amount, comes off the subtotal. Sales tax is then calculated on the discounted amount, and shipping or other charges are added last without tax.
Sales tax
Enter your rate as a percentage with up to three decimals, for example 8.25 or 8.875. Sales tax rules vary by state, county and city, and some services aren’t taxable at all. This tool applies the rate you enter but doesn’t decide what’s taxable. Check your state’s rules or ask a tax professional if you’re unsure.
Logo, currency and design
Add your logo as a PNG or JPEG. It’s placed in the PDF on your device, not uploaded. Choose US dollars (the default), Canadian or Australian dollars, euros or British pounds, and a classic, modern or ink-saving design.
